Did You Know you can communicate with users on a part or order level with the Conversations feature?

Part Conversations and Order Conversations are two new features that add a simple way for users to communicate back and forth about a particular part or order.

On any part and on any order that is pending approval, users can comment via a chat box that looks and works similarly to SMS conversations.

Bringing in a new user to be notified of new comments is as easy as entering “@” and their username. Whenever a comment is added, everyone who has been added to the Conversation will be emailed (except the person who added the comment).

Part and Order conversations are a great way to quickly get questions answered and reach consensus on approvals and part changes.

Benefits to the Client

  • Streamline approvals with a simple method for communication about an order.
  • Ask and answer questions about a part on that part’s details page.
  • The automatic emails enable the decision-makers stay updated without even having to log in to the portal. 
  • The chat log allows users to get caught up on past comments, when they were made, and by whom.

How It Works

Both Part Conversations and Order Conversations can be turned on for a customer on the Customer Detail page. Go to Portals / Select Customer / Settings. See the Allow Order Conversations option in the Order Settings section and the Allow Part Conversations option in the User Experience section.

With those settings turned on, you’ll see a tab on the right-hand side of part details pages and order details pages (for orders that have Approval Pending) on the front end.

How to use Conversations:

  • Adding a comment to the Conversation will add yourself to the Conversation.
  • Typing “@” followed by a username will add that user to the Conversation.
  • Any time a comment is added to the Conversation, all the users associated with it will be sent an email with the contents of the comment.

Order Conversations:

  • Only orders that are pending approval will have Conversations.
  • All approvers will be added to the Conversation for an order by default.

Part Conversations:

  • There is a setting on the user-level that if turned on, will add the user to all Part Conversations by default.
    • This setting is called Part Conversations and is in the Email Distribution section.
