Did You Know the Buyer Group setting “Near Real Time” can send low stock and out of stock alerts per part and runs hourly?
“Near Real Time” is a new report frequency option within the Buyer Group feature. “Near Real Time” works differently than the other report frequency options in that it will send email alerts PER PART, when a part’s stock runs low or runs out.
Instead of getting a report every week, every two weeks, or every month, users added to this type of Buyer Group will get individual email alerts for each part covered by the Buyer Group. “Near Real Time” Buyer Groups will check the inventory status of parts in the group each hour, hence the name “Near Real Time”.
Benefits to the Client
- Stay on top of product stock much more precisely with a high frequency, per product, inventory alert system.
- For clients with a high rate of product turnover, avoid cluttering the storefront with discontinued products with an automated alert system for “out of stock” products.
- Flexible options for receiving inventory reports that now include a near real-time option for both “Low Stock” and “Out of Stock” emails per product rather than per time period.
How It Works
To create a “Near Real Time” Buyer Group:
- In the back-end, go to Portals / Select a Customer / Click “Add”.
- Give the report a name in the Basic Information tab.
- Click the Email Report Setup tab.
- In the Select Report Frequency dropdown, select “Near Real Time”.
Important notes about “Near Real Time” Buyer Groups:
- Only Min Qty 1, Min Qty 2, and Back Ordered report types are supported by “Near Real Time” alert processing.
- Min Qty 1 and Min Qty 2 will trigger when a part falls below the value in the corresponding Min Qty field for each part and will send a “Low Stock” email.
- Back Ordered will trigger when a part goes into back ordered status and will send an “Out of Stock” email.
- All 3 email types can be customized in the Custom Email section. Found by going to System / Site / Custom Emails.
- When using “Near Real Time” as your frequency option, you also have the option to have the system resend each per part stock alert email every 30, 60, or 90 days.
- This means, for example, if a part goes out of stock and triggers and email within in an hour, but does not go back in stock within (30, 60, or 90) days, the email will send again.
- Like other types of Buyer Groups, you have the option to ignore all Print Workflow parts.
- Like other types of Buyer Groups, you can choose to run the Buyer Group against all parts or only the parts selected in the Group Parts tab.
