New Feature Announcement! — “Fixed Assets”

We’re excited to announce a major new feature to The Propago Platform: Fixed Assets! So what does this mean? If your client owns physical, reusable assets like TVs or furniture, you can now give end users the ability to book assets from the portal to use for a scheduled time and then return.

This feature is perfect for clients who attend tradeshows, conferences, and events of all kinds. Fixed assets are a new type of part with a new workflow for ordering that allows users to see how many assets are available and when. Users can place an order for the quantity and time frame they need.

So, for example, if you have a client planning for a tradeshow, the tradeshow manager can see how many chairs, TVs, and literature stands are available for the dates of their event, book what they need, and return them after the event.

How It Works

On Propago’s back end, you will find a new section called Part/Fixed Assets. The setup is similar to configured parts, with Master Parts and Child Parts. Create the Master Fixed Asset with settings/information and assign to a part category. Then you add Child Fixed Assets to the Master to represent each actual asset.

So, for example, a TV Fixed Asset part could be created with the SKU FA-TV and then you could add 10 Fixed Assets under this part with SKUs FA-TV-1, FA-TV-2, and so on.

Steps to setup a Fixed Asset:

  1. Go to Part / Fixed Assets.
  2. Click Add and then enter the required details including a SKU and a Customer.
  3. Click Create New Part.
  4. Go into the new Fixed Asset’s details.
  5. Go to the Fixed Assets tab. Here, you’ll add CHILD Parts.
  6. You have two options:
    1. Add Fixed Asset units one by one using the Add Fixed Asset button.
    1. Use the Generate Fixed Assets button to auto-generate a desired quantity of Fixed Asset units.
  7. Go to the Categories tab and add the Fixed Asset to one or more Part Categories to make it visible on the portal.

The last important detail to mention is buffers. You can add buffers to a fixed asset to account for the time needed to get the asset to a user and the time needed to get the asset ready to go out again. On the Basic Information page of a Fixed Asset you’ll see two settings called Fixed Asset Front Buffer Days and Fixed Asset Back Buffer Days.

On the front end, booking a Fixed Asset works as follows:

  1. Search for or browse to find a fixed asset.
  2. Click Order Now
  3. Click and drag to select the date range you want to order the fixed asset for.
  4. Use the quantity dropdown to select how many of the asset to order.
  5. Click Add to Cart

After that, the user can check out their cart just the same as any other order.

Returning a fixed asset is done through the RMA module (Orders / Manage Returns in the back end). If a fixed asset is not returned by expected return date (the end of the order window plus the back buffer), then it will be marked as late.

You can see details in the Fixed Asset section of the back end, including how many assets are currently booked, how many are late, and how many are in service.

In Service refers to whether a fixed asset is currently available to be rented. You can remove assets from service if they are lost, damaged, need to be serviced, or otherwise are currently unable to be used.

Clicking the Fixed Asset Schedule button will take you to a calendar view that shows how many assets are booked and for what time period.
