Did You Know you can control what variables are used to create Proof Names?

Proof Names can be used to associate meaningful identifying information with individual proofs made by end users. These names travel with the order line through the order workflow.

On a soft proof project, you can control what variable information will pre-populate the Proof Name field. The end user will see this field when they are approving their proof.

Through a portal-level setting, you also have the ability to lock down the Proof Name so that the end user can’t overwrite or edit it. This ability can be useful in circumstances where a producer has integrated with an outside system and wants to be able to send Proof Name information over in a consistent and expected format.

Benefits to You

  • Control what variables will pre-populate the Proof Name field.
  • Lock down the Proof Name field to keep Proof Names consistent.
  • Use Proof Names to associate consistent and meaningful info with order lines.

How It Works

To designate a variable that will pre-populate the Proof Name field, navigate to the soft proof project. In the Properties column of each variable, you’ll see a checkbox called “Use In Proof Name”. Checking this box will cause the variable input to be added to the Proof Name field when a user is personalizing their product.

If you check multiple variables, each variable will be added to the Proof Name field in the same order as in the soft proof project, separated by an underscore.

Users can overwrite or edit the text that pre-populates in the Proof Name field. If you want to disallow this ability, you can lock down the Proof Name field on the portal level by going to the portal details page in the back end. The Proof Name lock setting is found in the Soft Proofing & Mailing section.
